Two Minute Tales 2023 Privacy Notice for Young People

What is a privacy notice?

A Privacy Notice tells you what personal data the 91Èȱ¬ collects about you, how we use it and what you can do about it. Personal data is information that tells someone who you are. It’s things such as your name, address or a picture of you.

This privacy notice is for children and young people. We suggest that you ask an adult you trust, like your parent, guardian or teacher to read it with you.

Why are we doing this and how can you take part?

The 91Èȱ¬ is giving you the chance to have your Christmas story read out on the radio. Every story we select to be read out will have an illustration made for it, but four (4) stories will also have an animation made for them!

All you have to do is write a story on the theme of ‘What Happened this Winter…’ , and with your parent/guardian’s permission send it in to us. Your teachers can also send us your story if they have your parent/guardian’s permission.

Entries can be sent to us online, by email, or by post.

If entries are submitted online, the 91Èȱ¬ will collect the personal data via an online platform used by the 91Èȱ¬.

This year we have two language categories: one category for stories written in English; and a second category for stories written in Irish.

We will split entries in the English language category into three (3) age groups:

  • 5 to 8 year olds
  • 9 to 12 year olds
  • and 13 to 16 year olds

There will be three (3) finalists in each English language age group. We will then pick one (1) winning story for each age group.

Three (3) finalists will be selected in the Irish language category. We will then pick one (1) winning story from this category.

The twelve (12) finalists will have their short stories read out by actors on 91Èȱ¬ Radio Ulster. We will also ask the finalists to appear live on radio to talk about their story. When the finalists appear on live radio their full name will be announced on air, and their full name will be shown next to their story on the 91Èȱ¬ Northern Ireland Two Minute Tales programme webpage. All the stories shown on the ‘Two Minute Tales’ programme webpage will include the story illustration.

The finalists’ stories will also feature in an illustrated book along with their full name, and age. The book will be available for download on the programme webpage.

The four (4) winners will have their story animated and shared on 91Èȱ¬ Northern Ireland social media platforms and programme pages.

If you appear on live radio, this will mean that the programme will be available online and/or on demand. Your appearance on the radio might be used again in a future broadcast.

We might use your story or the broadcast of you on radio on our social media channels.

What personal data will the 91Èȱ¬ collect and how will we use it?

We will only collect your personal data when we need it to help us do our job or to follow the law. We collect it for this competition so we can run the contest; get in touch with you or parents, guardians or teachers, if we need more information; or if your story is selected to be read out on the radio.

Personal data

‘Two Minute Tales’ is open to children and young people in Northern Ireland only.

Entrants in the English language category must be aged from 5 to 16 years on 7th November 2023. Entrants in the Irish language category must be aged from 5 to 11 years, on 7th November 2023.

We will collect and use the following personal data about you:

  • Name
  • The age you’ll be on 7th November 2023
  • Your story
  • Confirmation you live in Northern Ireland

Your parent/guardian’s personal data

We will also collect some of the following personal data about your parent/guardian, so we can get in touch with them if we need to:

  • Full name
  • Phone number
  • Email address

Teacher’s personal data

We may also collect the following personal data about your teacher if they submit your story:

  • Full name
  • Phone number
  • Email address

Who looks after your personal data?

The 91Èȱ¬ is the data controller of your personal data. A data controller is in charge of the personal data collected about you.

We have appointed a Data Protection Officer; this person makes sure we do everything the law says we should. If you want to ask any questions about the personal data we collect, please email our Data Protection Officer at Data Protection Officer

The rules we have to follow when we collect your personal data

The 91Èȱ¬ follows data protection rules when we collect and use your personal data. The rule that we are using to collect your personal data for ‘Two Minute Tales’ is called “public task.” We use this rule because the 91Èȱ¬ was created to inform, educate, and entertain, and competitions like the one you’re entering help us do that.

We also have a “legal obligation” to keep the personal data of the winners so that we can prove the competition was fair.

Sharing your personal data

We will only share your personal data with someone else when we need to. For example, so that we can do our job, or when the law says that we have to. When your personal data is shared with someone else, they must keep it safe and only use it in ways that the 91Èȱ¬ or the law tells them to.

Some services at the 91Èȱ¬ are provided by other organisations known as ‘third parties’. We use a third party to collect and store the online entries.

How long will we keep your personal data?

If your story isn’t selected, we will keep your personal data until 31st December 2023. We will delete your personal data after this date.

We will keep winners’ personal data for (2) years for legal reasons, so that we can prove the competition was fair.

If your story is picked, it will be kept and archived forever by the 91Èȱ¬. If you appear on radio, a copy of this program will be kept and archived forever by the 91Èȱ¬.

Your personal data will be kept in the UK and the European Economic Area (EEA).

What are your rights?

You and your parents/guardians have the right under data protection law to:

  • Be told how we use your personal data.
  • Ask to see and receive a copy of the personal data we hold.
  • Ask us to change personal data you think is wrong.
  • Ask us to remove personal data when it's not needed anymore.
  • Ask us to only use your personal data in certain ways.
  • Tell us you don't want your personal data to be processed.

You can speak to a parent or guardian about these rights.
