What if I have an Agent?

Everything that your agent will need to know about their role in your journey at the 91Èȱ¬

If a Freelancer is represented by an agency, the agent reps for that agency will be able to accept bookings and claim payment on the Freelancer’s behalf using the . Due to the way our system is set up, a Freelancer can only have one agency at a time on our system. The agent reps for the agency will be the only individual’s from the agency who can access the Portal, and the link will remain for all 91Èȱ¬ bookings.

FPP is able to accommodate agencies;

  • Who wish to have multiple agent reps (including substitute agent reps) log in via their own logins and access the same freelancers
  • Who wish to have agent reps who can log in via their own logins and access different freelancers e.g. only those they represent.

Agent Terminology

  • Agency: This is the overall agency company
  • Agent Rep: This is the individual who works at the agency who represents the freelancers directly
  • Substitute Agent Rep: This is an individual who works at the agency who assists the main agent rep with representing their freelancers.

Agent Set Up

If you are an Agent Rep, your first step will be to have an Agent Rep Record set up on our system. Your client will need to inform their booker / 91Èȱ¬ contact as soon as possible, as you will need to be set up on our system before any bookings are set up. The Agent Rept set up process is outlined below:

1) You will need to complete the to confirm the details (address, bank details etc) that your Agent Rep Record will be set up against.

2) When you click submit the form will be sent to be processed.

3) The team will set up your Agent Rep record, generating an Agent Rep personal number. Your user id to log into FPP will be your email address.

4) You will receive an activation email from 91Èȱ¬ Connect this will be sent to the email addresses provided for each agent rep

5) Locate the ‘click here to activate your account’ button in the activation email.

6) You will then be taken to 91Èȱ¬ Connect and asked to select an authentication method.

7) You will then be asked to enter the code received on email then you can click continue

8) You will be asked to set a password for 91Èȱ¬ connect, this will be your password for FPP

9) On the account successfully activated page you will need to click continue

10) On the legal disclaimers page you will need to tick to confirm that you have read and understood the T&Cs then click the ‘Accept’ button

Please note each agent rep (including substitute agent reps) will need to complete steps 4 to 9 in order to set up their individual FPP logins.

11) You then be able to log in to your Agent Rep account on the Freelance Payment Portal using the password and multifactor authentication selected in your 91Èȱ¬ Connect set up.

12) Your client’s booking will be raised by their booker, linked to your Agent Rep record. They will then show in your Agent Rep account in the ‘Manage Freelancers bookings’ tile on the Freelance Payment Portal, and you will be able to accept / claim bookings once you have selected the freelancer in this tile.

Agent Systems

Freelancers who are not represented by an Agent Rep have their own individual Freelance Payment Portal account. When represented by an Agent Rep the freelancer, will in your Agent Rep account in the ‘Manage Freelancers bookings’ tile on the Freelance Payment Portal.

When you log in to your Agent Rep account on the Freelance Payment Portal, you will be presented with a list of Freelancers that are linked to your Agent Rep record in the ‘Manage Freelancers bookings’ tile. You will need to select a freelancer within this tile in order to accept/claim bookings on their behalf.

Smartbook

Smartbook is the 91Èȱ¬â€™s internal contracting tool, that is used to raise bookings / contracts for Freelancer engagements. You may hear this system mentioned in passing, but you will not require access to it.

EYIP

is the platform where 91Èȱ¬ Freelancers paid PAYE can access their payslips for their monthly payments. Each of your clients will be able to access this system through the email address that is listed on the Freelance Payment Portal for them. Unfortunately, Agent Reps are unable to access this system. A&C Portal

The A&C Portal is a web-based platform, available to 91Èȱ¬ artists and contributors and their agents, to access remittances and royalty statements online. For more information, including details of how to gain access, see . If you do not represent an artist or a contributor, you will not require access to this system.

Agent Payroll Access

Since our transition to a new Payroll provider, we have required some additional work to confirm how Agents will be able to interact with the new Payroll helpdesk, raise queries with Payroll on behalf of their clients, and also access payslips.

Raising queries with Payroll

In order for you to contact Payroll on a Freelancer’s behalf, we require the names and email addresses of individuals that would need to contact Payroll for registration on Payroll's systems. If you were set up on our system before 11th November 2024, you will have been contacted previously regarding this. For new Agents, this information is now captured as part of the Agent set up process. You are able to register up to 10 Agent Reps who can be registered to contact payroll.

Agent access to Payslips

Freelancers are able to access their payslips for their monthly payments. Each of your clients will be able to access this system through the email address that is listed on the Freelance Payment Portal for them.

As you may be aware, our payroll services have recently transitioned to a new supplier and are now provided by EY. More information on this can be found . Unfortunately, during the transition we identified that agents were unable to be registered on EYIP, the new payroll provider’s payslip system. In order to provide access to PAYE payslips for agents, folders have been created for each agency that you will be able to access.

Each agency will have their own Dropbox folder which will be named after their agency name. Each freelancer will have their own folder within the agency folder which will contain their payslips and payment breakdowns. You will be able to register individuals from your agency as an agent rep . They will be each be given access to the Dropbox folder.

Please note: access can only be given for individuals who have a named email address (not a generic email address) because they will need to register with Dropbox in order to access the folder.

A Dropbox link will be sent to the agent reps when their folder is first set up. The agent reps will need to retain this link for future use and pass this on to any new agent reps who join their team. If you represent individuals that were paid in October’s payroll, you will have already received the link to your Dropbox folder last month.

Each month, payslips will be uploaded to the relevant agency Dropbox folder the day before payday. If you are ever missing payslips, please contact Payroll. Please note, you will not be able to access pre-July 2024 payslips in Dropbox, as they are still available via using your previous login information.

FAQ's

If a freelancer has left their Agency, they will need to notify their booker as soon as possible. They will need to request that 91Èȱ¬HR de-link them from the Agency via the before they raise any new bookings. This will ensure that the Freelancer is able to set up / access their individual FPP account and update their bank details.

Failure to do this may result in payment being made to the old Agency.

Any updates to your agency/Agent Rep Record must be requested via the , and you must also confirm your Agent Rep Personal Number (this number will have been provided to you when your Agent Rep record was first set up).

This includes changes to office address, bank account or agency name.

If the agent reps within your agency has changed please fill in the to let us know of any agent rep changes.

Please note if we are not informed of agent rep changes the agent rep will be unable to; contact payroll via email, access PAYE payslips or log into their own account in FPP.
