Why do we collect and use your personal data?
The 91Èȱ¬ is calling on all poets out there in Coventry to write or recite a poem that you have created about friendship! If rhyming is not your thing, you can just tell us your thoughts on friendship! We’d love to hear from you about why friendship matters to you. Our favourite poems, recitals and comments will be included as part of the public artwork that will be on display at the Belgrade Theatre during the 91Èȱ¬ Contains Strong Language Festival, 23 - 26 September 2021.
If you under 16 years of age, you can still participate by getting your parent or guardian to submit your entry on your behalf.
We hope to use your comments and poems as part of the #CityOfFriendship – Coventry City of Culture 2021 programme of events and the 91Èȱ¬ Contains Strong Language Festival, but we can’t guarantee it. 
What will 91Èȱ¬ collect and how will we use it?
The categories of personal data that is collected include the following:
- your name
- your age
- your email address
- your general area
- your content and creations – i.e. the written poems, audio clips of poem recitals, or the comments that you share about friendship
- if you are under 16 years of age, the name and contact details for a parent or guardian, and their contact details (phone number and email address), and your name.
If you are under 16 years of age and your comments or poem is selected for publication, or if you are invited to take part in our local radio programmes, we will be in contact with you or your parent/guardian to obtain a Contributor Consent Form.
Sometime your creation or comments may contain more sensitive information (the law calls it the ‘special category of personal data’), like racial/ethnicity information and any visible information about your health, or your religious beliefs. This information may also be apparent from the audio, if you to share an audio recital.
Please respect the privacy of your friends and family when you provide poems or comments to us! Please don’t identify anyone else by name, and don’t include any sensitive details about anyone else in your comments and poems.
Who is the Data Controller?
The 91Èȱ¬ is the “data controller” of your personal data. This means that the 91Èȱ¬ decides what your personal data is used for, and the ways in which it is processed. Your personal data will be collected and processed solely for the purposes set out in this privacy notice. As the data controller, the 91Èȱ¬ has the responsibility to comply, and to demonstrate compliance with, data protection law.
Lawful basis for processing your personal data
The 91Èȱ¬ relies on its public task as a media organisation to process this data for the purposes of creating broadcast output through audience engagement. We have carefully considered the impact on you/your child and will not use your/your child’s personal data where the impact overrides our interests.
The 91Èȱ¬ processes your/your child’s special category data, such as ethnicity and disability status (if applicable) on the lawful basis that processing is necessary for reasons of substantial public interest in fulfilling its Charter obligations, in engaging with audiences and creating broadcast output.
Sharing your data
The 91Èȱ¬ uses a tool called ‘Uploader’ to receive your videos. This is a secure internal 91Èȱ¬ system.
Except as indicated above, the 91Èȱ¬ will not share your personal data with any third party without your prior consent unless required or permitted by law. In line with our terms of entry, if the submission contains troubling content, the 91Èȱ¬ may take advice from the NSPCC, and may refer to the relevant authorities in accordance with the .
Retaining your data
Your/your child’s personal data and any audio clips sent to us will be retained for the duration of this programme.
Our favourite comments and written/recited poems will be used as part of broadcast content and be made available publicly through various mediums and archived in accordance with the 91Èȱ¬’s Editorial Guidelines. If your/your child’s recording and any of their personal data is broadcast, it will be retained and archived in perpetuity by the 91Èȱ¬. Our favourite submissions will also be used as part of the public artwork that will be on display at the Belgrade Theatre during the 91Èȱ¬ Contains Strong Language Festival, 23 - 26 September 2021.
Personal data and contributions that are not used will be deleted at the completion of the programme.
